To send Webflow form leads to WhatsApp, pass each form submission through Zapier, Make or Pabbly Connect, using Webflow's "New Form Submission" trigger, to a WhatsApp Business API platform such as RichAutomate, because Webflow has no built-in WhatsApp action. That platform then sends the lead a Meta-approved template within seconds and alerts your sales team, so nobody waits for an email that sits unread in a Promotions tab.
A Pune interior-design studio, a Bengaluru SaaS startup and a Jaipur coaching institute share the same problem. The Webflow form works, but submissions land in an inbox someone checks twice a day, and by the callback the lead has filled in two other forms.
One thing to be clear about up front: RichAutomate does not have a Webflow app or a built-in Webflow connection. Every setup here uses an automation tool or a small serverless function to call RichAutomate's public API. RichAutomate connects directly only to Zoho CRM, Razorpay, Google Sheets and Meta Cloud API, plus its built-in booking.
Why WhatsApp beats an email autoresponder for Webflow leads
Webflow can email the visitor a confirmation and notify you by email. For most Indian businesses that is not enough:
- Speed-to-lead. Someone who just asked for a quote is most interested in the first few minutes. A WhatsApp message that arrives while they are still on your site feels like a reply from a person.
- Where people actually read. An email confirmation competes with newsletters and OTPs; a WhatsApp message sits next to their personal chats.
- It starts a conversation. A template with quick-reply buttons lets the lead tap "Share my requirements" and answer two questions before your rep picks up the phone.
The same logic applies to every website builder. If you also run a Wix site, our guide to Wix WhatsApp form leads covers that setup.
What Webflow can and cannot do with form submissions
Webflow forms store submissions, send email notifications, and fire a webhook or integration trigger on submit. They do not send WhatsApp messages.
Here is the part most tutorials skip. Webflow's own form webhook (Site settings, Integrations or Webhooks section, "Form submission" trigger) posts Webflow's JSON shape, with the visitor's fields nested inside the payload, roughly like this simplified example:
{
"triggerType": "form_submission",
"payload": {
"name": "Enquiry Form",
"submittedAt": "2026-11-04T05:42:10.000Z",
"data": {
"Name": "Priya Kulkarni",
"Phone": "+91 98765 43210",
"Service": "Modular kitchen",
"Budget": "5-8 lakh"
}
}
}
RichAutomate's flow trigger expects phone, name and data at the top level. Paste the RichAutomate trigger URL straight into Webflow's webhook settings and the request fails, because there is no top-level phone. You need a middle step that reshapes the data: an automation tool mapping fields into an HTTP POST, or a tiny serverless function.
Form submission limits and webhook or integration availability depend on your Webflow site plan, so check webflow.com/pricing before you build.
| Route | Setup effort | Cost | Lead captured in CRM? | Automatic reply? | Best for |
|---|---|---|---|---|---|
| Zapier, Make or Pabbly Connect | Low: no code, about 30 minutes once a template is approved | Free tier with task or operation limits; paid plans in USD, Pabbly also sells lifetime deals | Yes, add a Google Sheets or CRM step in the same workflow | Yes, template plus flow within seconds | Most teams, especially without a developer |
| Webflow webhook + serverless reshaper (for example a Cloudflare Worker) | Medium: about 40 lines of JavaScript | Low; Cloudflare Workers has a free tier | Only if you add the CRM call in code | Yes, same as above | High lead volume, or teams that want no per-task billing |
| wa.me click-to-chat link on the thank-you page | Very low: one link | No automation cost | No, unless the lead also submits the form | No, the lead must tap and send first | Very small sites, or as a backup option next to the form |
The wa.me link is worth adding anyway, but it needs the visitor to take one more action. The first two routes reach every lead who submits and opts in.
Before you start: a five-point checklist
- A WhatsApp Business API number connected in RichAutomate. The WhatsApp Business app on a phone cannot be driven by an API.
- An approved acknowledgement template. The first message to a new lead is business-initiated, so it must be a Meta-approved template.
- A clean phone field. Use a
telinput labelled "WhatsApp number" with a hint such as "10-digit mobile, India (+91)". For international leads, add a country-code dropdown. - A WhatsApp consent checkbox, unticked by default, such as "Send me updates about my enquiry on WhatsApp". Meta requires opt-in, and India's DPDP Act 2023 expects consent to be clear and specific. Store the value with the lead.
- A published flow in RichAutomate with an Incoming Webhook trigger. A draft flow will not run.
The API expects numbers in international format without a plus sign or spaces, for example 919876543210. Visitors type +91 98765 43210 or 098765 43210, so every route below includes a formatter step.
Step-by-step: Webflow to WhatsApp with Zapier, Make or Pabbly
The screens differ between tools, but the chain is the same: trigger, formatter, HTTP POST.
Step 1: Webflow trigger
Pick Webflow as the trigger app with the new form submission event, choose your form, then submit one real test entry so the tool captures sample fields to map.
Step 2: Filter on consent
Continue only when the WhatsApp consent field is checked. Other leads can still go to your CRM or sheet.
Step 3: Format the phone number
Use a formatter or short code step to keep digits only, take the last 10 digits and add 91 in front. This handles spaces, hyphens, a leading 0 and a duplicated +91. With a country-code field, join that code instead of hard-coding 91.
Step 4: POST to the RichAutomate flow trigger
Add Webhooks by Zapier (check your plan includes it), Make's HTTP module, or API by Pabbly. Set method POST, payload type JSON, and your flow's trigger URL:
POST https://richautomate.in/api/v1/public/flows/{token}/trigger
Content-Type: application/json
{
"phone": "919876543210",
"name": "Priya",
"data": {
"service": "Modular kitchen",
"budget": "5-8 lakh",
"source": "webflow-enquiry"
}
}
No API key is needed, because the token in the URL is the credential. Keep that URL out of screenshots, shared docs and client-side code. Each key inside data becomes a contact attribute your flow can use as {{attr.service}}.
A successful call returns 202 Accepted with a flow_run_id, and the flow takes over from there.
Step 5: Alert the sales rep
Add one action calling POST /api/v1/send-template with your Bearer API key, sending a utility template such as "New Webflow lead: {{1}}, {{2}}, budget {{3}}" to the rep's WhatsApp number.
Our Zapier WhatsApp integration guide covers field mapping screen by screen; Make and Pabbly follow the same logic. Each tool has a free tier with task or operation limits and paid plans priced in USD (Pabbly also offers lifetime deals), so check zapier.com, make.com and pabbly.com. Each lead uses several tasks.
Step-by-step: Webflow webhook + a Cloudflare Worker reshaper
At hundreds of leads a month, or to avoid per-task billing, put a small serverless function between Webflow and RichAutomate that reshapes the body and forwards it.

- Create a Cloudflare Worker and store your flow token as a secret named
RA_FLOW_TOKEN(see Cloudflare's guide to Worker secrets). Never hard-code it. - Paste the code below and deploy.
- In Webflow site settings, add a "Form submission" webhook pointing to your Worker URL.
- Submit a test entry with your own number.
export default {
async fetch(request, env) {
if (request.method !== "POST") return new Response("Method not allowed", { status: 405 });
const body = await request.json();
const f = body.payload?.data || {};
if (f.website) return new Response("ignored"); // honeypot field
if (String(f["WhatsApp consent"]) !== "true") return new Response("no consent");
const digits = String(f.Phone || "").replace(/\D/g, "");
if (digits.length < 10) return new Response("bad phone", { status: 400 });
const phone = "91" + digits.slice(-10);
const res = await fetch(
`https://richautomate.in/api/v1/public/flows/${env.RA_FLOW_TOKEN}/trigger`,
{
method: "POST",
headers: { "Content-Type": "application/json" },
body: JSON.stringify({
phone,
name: f.Name || "",
data: { service: f.Service || "", budget: f.Budget || "", source: "webflow" }
})
}
);
return new Response(null, { status: res.status });
}
};
The mapping: Webflow's payload.data.Phone becomes phone, payload.data.Name becomes name, and the rest go inside data. Field names must match your Webflow input names exactly, and check the consent checkbox value in a sample payload. The trigger is rate-limited to 60 requests per minute per IP, which normal volume never reaches but a bot flood can.
Designing the WhatsApp flow behind the form
What the lead experiences depends on the flow you build in the visual flow builder.
1. The acknowledgement template
Keep it short and about their request. For the Pune studio:
Hi {{1}}, thanks for your enquiry about {{2}} on our website.
Our design team will call you on this number by {{3}} IST.
Tap a button below to share a few details before the call.
[Share my requirements] [Call me later]
Wording that only confirms the visitor's request can be utility. Add an offer like "Book this week and get 10% off" and it becomes marketing, and Meta may reclassify it. Our guide to WhatsApp message template categories explains where the line sits.
2. Two qualifying questions
When the lead replies or taps a button, a 24-hour customer service window opens. Free-form messages inside it carry no Meta charge, so the flow can ask:
- "Which space are you planning?" with options such as Kitchen, Full 2BHK, Full 3BHK, Office.
- "When do you want to start?" with options such as This month, In 1-3 months, Just exploring.
The Jaipur coaching institute would ask about target exam and batch timing; the Bengaluru SaaS startup about team size and current tool. Save answers as attributes and tag the lead hot, warm or cold. Our WhatsApp lead qualification and scoring guide has question sets and scoring rules.
3. Hand off to the team inbox
End the flow by assigning the conversation to a team member in the shared inbox, answers visible on the contact, so the lead never repeats themselves.
4. Alert the sales rep
The rep alert from the automation step should carry the service and budget. Route hot leads to a senior rep and cold leads to a nurture list.
What it costs in India: a worked monthly example
On RichAutomate's Client Pay model, you pay a ₹0.10 platform fee per message to RichAutomate, and Meta bills its own template charges directly to your business. Meta's India rates are about ₹0.115 per utility template and about ₹0.8631 per marketing template, and replies inside the 24-hour service window are free. Meta revises these rates, so check Meta's WhatsApp pricing page before you budget.
Take the Pune studio at 600 Webflow leads a month. Each lead gets one utility acknowledgement template, and each lead also triggers one utility alert template to a sales rep. Worst case, no service window is already open for either message, and the studio is on the Starter plan:
| Cost line | Calculation | Monthly amount |
|---|---|---|
| Meta utility templates, lead acknowledgements (billed by Meta) | 600 × about ₹0.115 | about ₹69 |
| Meta utility templates, sales-rep alerts (billed by Meta) | 600 × about ₹0.115 | about ₹69 |
| RichAutomate platform fee | 1,200 messages × ₹0.10 | ₹120 |
| RichAutomate Starter plan | Fixed | ₹499 |
| Total on the WhatsApp side | ₹69 + ₹69 + ₹120 + ₹499 | about ₹757 |
| Automation tool (if used) | Zapier, Make or Pabbly bill per task or operation | Depends on your plan |
That is about ₹1.26 per lead. If the acknowledgement were a marketing template, those 600 messages would cost about ₹518 from Meta (600 × ₹0.8631) instead of about ₹69, which is why request-only wording matters. Qualifying questions inside the open window have no Meta charge; at the ₹0.10 platform fee, 600 extra flow messages add ₹60.
RichAutomate plans are Pay-as-you-go at ₹0/month, Starter at ₹499/month, Pro at ₹899/month and White-label at ₹1,199/month. There is no setup fee, every account gets a 14-day free trial, and you get 100 free credits on signup. Full details are on the RichAutomate pricing page.
Troubleshooting: common Webflow to WhatsApp errors
Check the response in your Zap history, Make execution log, Pabbly task history or Worker logs. These cover most first-day failures:
| Symptom | Likely cause | Fix |
|---|---|---|
| 404 from the flow trigger | Unknown trigger: wrong or incomplete token, or the flow's trigger is not Incoming Webhook | Copy the trigger URL again from the published flow |
| 409 from the flow trigger | Flow saved but not published | Publish the flow so it is ACTIVE, then resend |
| 422 from the flow trigger | Missing phone, usually because Webflow's raw webhook was posted without reshaping | Map payload.data.Phone to a top-level phone field |
| 202 returned but no message arrives | Wrong number format, such as 9109876543210 or a 10-digit number without 91 | Keep digits only, take the last 10, prefix 91; check delivery status in the inbox |
| Template rejected or stuck in review | Promotional lines in a utility template, vague variables, or a variable at the very start or end | Rewrite as plain request confirmation, add sample values, resubmit |
| Dozens of junk leads or 429 errors | Spam bots submitting the Webflow form | Add a hidden honeypot field and enable reCAPTCHA in Webflow form settings; skip submissions with the honeypot filled |
| Same lead messaged twice | Visitor double-clicked submit, or the automation replayed a run | De-duplicate on phone plus a short time window in your filter or Worker |
Delivery and read statuses from Meta appear against each message in the RichAutomate inbox, so you can see whether the lead actually received the acknowledgement, not just whether the API accepted the call.
Where RichAutomate fits, and your next step
Webflow builds your site and collects the enquiry. RichAutomate handles what happens next: the approved template, the qualifying flow, the team inbox and the rep alerts, on your own verified WhatsApp number. The automation tool or Worker is just the bridge, and a second form is a copy of the same step with different field names.
Still choosing a platform? Compare WhatsApp API providers on pricing model, flow builder and inbox features. Then start small: one template, one form, one test submission from your own phone.
