Indian shrimp and inland fish farms use WhatsApp Business API automation to run the whole crop cycle on one thread: seed booking confirmations, daily pond logs from supervisors, pre-harvest antibiotic-test reminders, harvest slot coordination with the processor, and payment follow-up. It works because the compliance spine of Indian aquaculture is documentary and date-driven, and WhatsApp is the only channel every farm supervisor, hatchery contact and technician in Andhra Pradesh, West Bengal, Gujarat and Tamil Nadu already opens without training.
A vannamei farm running three or four ponds rarely fails on biology alone. It fails because a dissolved-oxygen crash was noticed at 6am but reported at 11am, because a pre-harvest residue sample was drawn two days too late, because the CAA registration renewal date sat in a drawer, or because the processor's pickup vehicle arrived while the pond was still being harvested by hand. Every one of those is a message-timing problem, not a farming problem.
Why aquaculture is a scheduling business wearing a farming costume
A single vannamei crop runs roughly 100 to 130 days from stocking to harvest, and almost every decision inside it is anchored to a date: seed arrival, first feed check, weekly average body weight (ABW) sampling, water exchange, withdrawal period, residue sampling, harvest window, processor slot. Inland carp and pangasius cycles are longer but structurally identical.

The regulatory spine: what the thread has to prove
Automation in Indian aquaculture is only worth building if it produces the paper trail regulators and buyers ask for. Four registrations dominate.
CAA registration (Coastal Aquaculture Authority Act, 2005, as amended 2023)
Coastal aquaculture farms in the coastal belt must be registered with the Coastal Aquaculture Authority, constituted under the Coastal Aquaculture Authority Act, 2005. The 2023 amendment broadened the Authority's remit to activities beyond grow-out farms — including hatcheries, nucleus breeding centres and broodstock multiplication centres — and reworked enforcement away from criminal prosecution toward regulatory penalties for non-registration and non-compliance. Registration and renewal run through the Authority's online portal, and the certificate carries a validity date. Farm size, pond area, water source, discharge arrangement and effluent treatment provision all appear on the application.
The automation value is direct: registration number, validity date, registered pond area and effluent treatment system (ETS) details become fields in the farm's WhatsApp record, and the renewal date becomes a scheduled reminder instead of a surprise.
MPEDA registration and RCMC for export-linked farms
If the crop is destined for export, the Marine Products Export Development Authority sits in the chain. Exporters need MPEDA registration and a Registration-cum-Membership Certificate (RCMC) to be recognised in the marine products export system and to access export benefits, and MPEDA also operates farm and hatchery enrolment schemes that processors increasingly insist on before they will buy. NRCP, banned antibiotics and pre-harvest testing
India runs a National Residue Control Plan for aquaculture products, under which farms and consignments are sampled for antibiotic and drug residues. Certain antibiotics — chloramphenicol and the nitrofuran group among them — are prohibited in aquaculture, and detection is treated as a zero-tolerance failure rather than a limit breach. Importing markets apply their own residue limits, and one rejected consignment can pull an entire farm cluster into extra scrutiny.
We deliberately do not put numeric residue limits into a WhatsApp template. What automation should carry is process: which inputs are permitted, that the withdrawal period was observed, on what date the sample was drawn, from which pond, by whom, at which lab, and what the report said. That is defensible. A number typed from memory is not.
FSSAI for domestic sale
Fish and shrimp sold into the domestic market — retail, hotels, modern trade, inland carp markets — bring the farm or its trading arm under the Food Safety and Standards Authority of India licensing and registration regime. Inland fish farms in West Bengal, Andhra Pradesh and Assam selling domestically usually need this more than they need MPEDA.

The 6-stage lifecycle on WhatsApp
1. Seed booking
Booking PCR-tested seed from specific-pathogen-free broodstock origin is the highest-leverage message of the cycle, because a bad batch cannot be undone at day 40. The confirmation should be written, not verbal.
Template (utility): "Seed booking confirmed. Farm: Krishna Aqua, Pond P3. Hatchery: {{1}}. Species: L. vannamei. Quantity: {{2}} lakh PL. PCR status: {{3}}. Broodstock source: {{4}}. Indicative stocking date: {{5}}. Reply CHANGE to move the date or DOC to receive the hatchery test report."
Black tiger (P. monodon) bookings carry different seed economics and slower growth expectations than vannamei, so the same template runs with species-specific target ABW and cycle-length fields rather than a second workflow.
2. Stocking
Stocking day generates the anchor date every later reminder counts from. One message captures it: pond ID, actual PL count stocked, acclimatisation notes, water parameters at stocking, and a photo of the hatchery invoice. From that single timestamp the system schedules ABW sampling prompts, water-exchange checks and the pre-harvest testing chain.

3. Grow-out daily logs
This is where automation earns its keep. A scheduled prompt goes to the pond supervisor twice a day.
Prompt: "Pond P3, Day 46. Reply with: DO morning / pH / salinity / feed kg / any mortality. Example: 4.2 / 7.9 / 18 / 62 / nil"
The reply is parsed into the pond record. Out-of-range values alert the technician instead of sitting unread in a group chat: dissolved oxygen below the farm's threshold, a pH swing, a salinity move after rain, or a feed figure inconsistent with the last ABW and expected average daily gain (ADG). Weekly ABW sampling gets its own prompt, so feed-conversion drift becomes visible in-cycle rather than at harvest.
Language is the make-or-break detail. Supervisors in Andhra Pradesh and Tamil Nadu answer in Telugu and Tamil; West Bengal and Odisha inland farms in Bengali and Odia. WhatsApp message templates are approved per language, so the same utility template is submitted in Telugu, Bengali, Hindi and English, and the contact record decides which one sends. Numeric replies parse identically across all of them, which is precisely why structured numeric prompts beat open questions.
4. Pre-harvest testing
Counting backward from the target harvest date, the system fires the reminder chain: withdrawal-period confirmation, sample drawing, lab submission, report upload. 5. Harvest and processor pickup
Harvest is a three-party choreography: farm, harvest labour contractor, and the processor's vehicle with ice. A single broadcast to the confirmed participants replaces a morning of calls.

6. Payment and next-cycle rebooking
Post-harvest the thread carries the weighment note, count-size grading, rate applied, deductions and net payable — then converts into the next cycle. Farms that book seed for the following crop inside 14 days of harvest lose far less pond-idle time, and a rebooking prompt attached to the payment confirmation is the cheapest way to get that. Opt-in, consent and what nobody should promise
Every recipient — supervisor, hatchery, harvest contractor, farmer in a cluster — must have opted in before you message them, and every marketing thread needs a working opt-out. Unsolicited or bulk sending to purchased farmer lists gets numbers blocked and quality ratings cut, and no vendor can honestly promise otherwise. Collect consent where the relationship already exists: at booking, at contract signing, at the farm gate, or through a click-to-WhatsApp entry point.

Rollout in four weeks
Week 1. Meta Business verification and WhatsApp Business Account setup. A trial runs without GST, but going live on a WhatsApp Business API number effectively requires GST details for verified business messaging — treat GST as required, not optional. Load your pond master list, supervisor contacts, hatchery contacts and processor contacts with language preferences.
Week 2. Submit templates in English plus the two regional languages your team actually uses. Start with six: seed booking, stocking record, daily log prompt, pre-harvest check, harvest slot, payment statement. Approval is per language, so submit them together.
