Alarm and ticket routing: why BACnet-to-WhatsApp beats email
A BMS raises alarms all day. A chiller trips, an AHU supply fan faults, a critical zone drifts out of band, an energy meter crosses a demand threshold. The console in the BMS room displays all of it beautifully — to an empty chair at 9pm.
The facility manager who can actually act is walking the basement with a phone. Email alerts from a BMS head-end are famously ignored: they arrive in volume, look identical to one another, and carry no acknowledgement loop. A WhatsApp notification is read within minutes and can demand a reply — acknowledge to start the SLA clock — giving you a defensible response record for the AMC.
Architecturally, keep it simple and one-directional. Your BMS supervisory layer or an alarm-forwarding middleware raises a webhook, your platform maps the alarm class to an approved template, and the message goes to the on-duty contact with a ticket reference. Replies append to the ticket. Suppress duplicates aggressively — a flapping sensor that fires forty messages in an hour trains everybody to ignore the channel permanently.
What the bot must never do
Draw this line before you build anything, and write it into your own standard operating procedure and your AMC contract:
- Never acknowledge, silence or clear a fire-alarm or any life-safety alarm over WhatsApp. Fire detection and suppression are governed by the building's approved fire system and the state fire NOC regime (verify current applicability for your state and occupancy class). A messaging channel is not an approved acknowledgement path, and treating it as one is both a safety failure and a liability you do not want.
- Never let the bot issue a command to a controller. No setpoint changes, no start or stop, no override, no schedule edits triggered by a chat reply. Advisory only, always.
- Keep a qualified human in the loop for anything that changes plant state. The message tells a competent person what happened; that person acts on the approved interface.
- Never present chat-delivered alarms as a substitute for the monitored system. It is a notification layer on top of the BMS, and your contract should say exactly that.
Compliance and data: the parts integrators underestimate
Every item below should be verified for current applicability with your consultant or auditor — codes, thresholds and state-level rules change.
- ECBC and the Energy Conservation (Amendment) Act, with BEE norms drive much of the controls and metering scope in large commercial buildings, and increasingly the retrofit case. Energy-audit findings are a legitimate, non-pushy reason to reopen a conversation with an old client.
- NBC 2016 sets expectations for fire-alarm and building-services integration; your interface scope with the fire system usually traces back to it.
- BIS and IS standards for panel construction, enclosures and cabling — relevant to what you can defend during inspection.
- CEA electrical safety regulations for the electrical side of panels and supply.
- State fire NOC dependency — fire-alarm integration frequently cannot be signed off until the NOC path is clear. That dependency belongs on your readiness checklist, not in somebody's head.
- GST works-contract versus goods split, plus e-invoicing and e-Way Bill obligations when panels and controllers move to site. Get the classification right at quotation stage; retrofitting it into an invoice later is painful.
- Factories Act and site-safety rules for industrial installations — work permits, height work, hot work, and the induction records that go with them.

The DPDP carve-out for access-control data
Most of what flows through a project thread is commercial. Some of it is genuinely sensitive personal data, and integrators routinely handle it without noticing.
Access-control commissioning means enrolment data: employee names, card numbers, photographs and, in many installs, biometric templates. Add CCTV integration and visitor-management exports and you are processing personal data on somebody else's behalf. Under the DPDP framework you are typically a processor acting for the building owner or occupier, which means your obligations flow from a written agreement rather than from goodwill (verify your exact role and duties with counsel).
Practical rules: never paste enrolment spreadsheets, biometric exports or cardholder lists into a chat thread — move them over an agreed secure channel and merely reference the transfer in the thread. Treat single-line diagrams, panel schematics and network topology as confidential to the client. Restrict which of your staff can open project threads containing site drawings. And define, in the AMC contract, what happens to any personal data you still hold when the contract ends. Facility-manager contact details are personal data too: collect them for a stated purpose and stop messaging the moment someone asks you to.
AMC renewals and the retrofit clock
Controllers age out, panels go obsolete, spares dry up, head-end software falls off support and energy-code expectations tighten. Every BMS you have ever commissioned is on a clock toward an upgrade conversation — the only question is whether you are in the room when it happens or a competitor is.
Run the renewal sequence on a schedule instead of on memory: a reminder ninety days before AMC expiry carrying the year's ticket summary and response-time record, a follow-up at thirty days with the renewal quotation, and a short final nudge at seven days. Attach evidence, not adjectives — alarms handled, mean acknowledgement time, snags closed, uptime on critical plant. Separately, keep a retrofit register: installations past a defined age, sites running discontinued controllers, clients who have recently had an energy audit. Those are warm, specific conversations rather than cold outreach.

One caution worth stating plainly: a messaging platform does not exempt you from Meta's policies. Message people who expect to hear from you, on projects and contracts they are party to, and honour opt-outs immediately.
