WhatsApp API for Fastener Manufacturers India 2026 Guide

Yes — a fastener plant can run its entire order desk on WhatsApp Business API: dealer indents, quotations and proforma invoices, per-lot mill test certificates carrying the heat number, plating status, e-way bill Part-B updates and payment follow-ups all move on the one app your distributors keep open on the shop floor. In practice it replaces the "sir MTC bhej do" phone call and the oversized email attachment that bounces at the dealer's mail server with a template message that fires automatically the moment a lot clears final inspection.

That distinction matters more in fasteners than in most manufacturing lines. A nut-and-bolt order is not one transaction — it is a chain of ten small confirmations spread over three to six weeks, and every broken link in that chain shows up later as a rejected lot, a stuck payment, or a dealer who quietly places the next indent with the unit down the road. This guide covers what a plant in Ludhiana, Rajkot, Jamnagar, Chennai, Faridabad or Pune can automate in 2026, the BIS and GST obligations that sit on top, and what the messaging costs.

What WhatsApp Business API does inside a fastener plant

The Business API is not the WhatsApp Business app with a bigger contact list. It is a server-to-server channel: your ERP or order sheet triggers a pre-approved template, WhatsApp delivers it to the dealer's number, and the reply lands back in a shared team inbox with a full audit trail. Nobody is forwarding PDFs from a personal handset.

The jobs it takes over in a typical 40-to-200 person fastener unit:

  • Indent acknowledgement — a dealer sends a part list on WhatsApp and an auto-reply confirms receipt with an indent reference within seconds, instead of next morning.
  • Quotation and PI delivery — the PDF goes as a document message, so the dealer opens it on the same thread where he asked for it.
  • Heat-lot and production status — "M12 x 60 HHB, class 8.8, heat no. H-2411-07, cold forged, moved to heat treatment" as a utility template.
  • Plating and coating handover — zinc, geomet or hot-dip movement to the job worker, with the delivery challan number in the message body.
  • Inspection and MTC release — the mill test certificate attached to the lot message, permanently searchable in the dealer's chat.
  • Dispatch and e-way bill — transporter name, LR number, vehicle number and Part-B confirmation in one message.
  • Payment follow-up — a scheduled utility reminder against the invoice, not a collections call at 8 pm.
  • Reorder nudge — a marketing template to opted-in dealers when their usual consumption cycle is due.

All of the above is standard template plus flow work — see the full list of WhatsApp automation features and the wider set of manufacturing WhatsApp use cases for adjacent industries running the same pattern.

The standards spine: BIS QCO, IS 1367 and IS 1363/1364

Fasteners moved from a paperwork-optional trade to a certified one. The Fasteners (Quality Control) Order brings listed nuts, bolts, screws and washers under mandatory BIS certification, meaning the ISI mark and a licence number on covered product — implementation dates have been extended more than once, so confirm the current DPIIT notification and your product's coverage before you print a carton. Whatever the date, the commercial effect is already here: dealers and tier-1 buyers now ask for the licence number, the property class and the test certificate up front, and the supplier who answers in ten minutes wins the indent.

StandardWhat it governsWhat the buyer wants on WhatsApp
IS 1367 (multi-part)Technical supply conditions for threaded steel fastenersMechanical test values in the MTC, lot-wise
IS 1367 Part 3 / ISO 898-1Property classes for bolts and screws — 8.8, 10.9, 12.9Class marking on the head, proof load and tensile figures
IS 1367 Part 6Property classes for nuts (8, 10, 12)Proof load test result for the matching nut lot
IS 1363 (Parts 1-3)Hexagon head bolts, screws and nuts — product grade CDimensional conformance sheet for the lot
IS 1364 (Parts 1-5)Hexagon head bolts, screws and nuts — product grades A and BDimensional report plus surface-defect check
Coating standards (electroplated / hot-dip)Zinc and other protective coatings on fastenersCoating thickness and salt-spray hours from the plater
Fasteners (Quality Control) OrderMandatory BIS licence for covered fastenersLicence number on the quotation, carton and MTC header

The property class is not decoration. Class 8.8 means a nominal tensile strength of 800 MPa with yield at roughly 80 per cent of that; 10.9 means 1000 MPa nominal tensile with yield around 900 MPa; 12.9 means 1200 MPa nominal with yield near 1080 MPa. A dealer who orders 10.9 and receives 8.8 has a safety problem, not a discount — which is exactly why the certificate needs to arrive with the lot rather than a week after it.

MTC and heat-number delivery, lot by lot

Mill test certificate delivery is the single highest-value automation in this industry, because it is the step that is both mandatory and almost universally handled by hand. The chemistry and mechanicals sit against a heat number; the heat number belongs to a specific lot; the lot goes to a specific dealer on a specific invoice. Break the link between those four and traceability is gone — and a field-failure investigation eighteen months later becomes an argument instead of a lookup.

Channel for MTC deliveryTypical time to the dealer's handsProof of receiptRetrieval six months later
Phone call plus hard copy with the transporterArrives with the truck, or is lost in transitNone beyond a signature on the LRPhysical file hunt at both ends
Email with PDF attachmentMinutes, if it clears spam and attachment-size limitsDelivery receipt only, rarely a read receiptBuried under a year of promotional mail
WhatsApp API document templateSeconds, triggered by the inspection sign-offSent, delivered and read status per messageSearchable in the chat by heat number or part code

In our cohort of small and mid-size industrial suppliers the pattern is consistent rather than dramatic: certificate-related callbacks drop sharply once the document is pushed at inspection sign-off instead of on request, and dispatch clerks stop spending the first hour of every morning re-sending yesterday's paperwork. Treat any precise percentage quoted for this as directional; it moves with how disciplined your QC-to-dispatch handoff already is.

Two practical build notes. First, name the file with the heat number and lot, not MTC_final_2.pdf, because the dealer's search behaviour six months later is to type the heat number. Second, send it as a utility template, not a marketing blast — it is information the buyer asked for.

Indent to reorder: the ten-stage cohort lifecycle

Here is the real chain a distributor order walks through in a fastener plant, and what changes when each stage gets a message trigger instead of a phone call.

10. ReorderWhoever remembers to callConsumption-cycle nudge to opted-in dealers onlyMarketing

Nine of the ten stages are utility traffic — genuine transactional updates about an order the buyer placed. Only the reorder nudge is marketing, and it needs explicit opt-in. Getting that split right is the whole cost game, because utility and marketing are priced very differently. The same lifecycle logic is worked through for a longer sales cycle in our machine-tool and capital-equipment OEM playbook, worth reading if you also sell assembled equipment alongside components.

GST at 18 per cent, job work versus supply, and e-way bill Part-B

Iron and steel fasteners — screws, bolts, nuts, coach screws, rivets, washers and similar articles in the HSN 7318 family — attract 18 per cent GST. That rate is on the supply of goods. The distinction that trips up fastener units is job work: when you send blanks out for heat treatment, plating or thread rolling, the material is not being sold. It moves on a delivery challan under the job-work provisions, the job worker bills you for a service under the manufacturing-services SAC rather than 18 per cent on the value of your goods, and the inputs must come back within the statutory window — one year for inputs, three years for capital goods — or the original despatch is treated as a supply. Have your accountant confirm the current notified job-work rate for your process.

On movement, the e-way bill applies to consignments above the ₹50,000 threshold, with state-level variation for purely intra-state moves. Part-A carries the invoice and consignee details; Part-B carries the vehicle number and must be completed before the goods move. Inter-state job-work movement needs an e-way bill regardless of consignment value, which catches Ludhiana and Faridabad units sending material across the state line for plating almost daily. A one-line utility template confirming "Part-B updated, vehicle PB-10-XX-1234, EWB valid till DD-MM" costs a fraction of a rupee and prevents the most common dispatch dispute there is: a truck detained because nobody closed Part-B.

DPDP Act 2023 consent and Legal Metrology declarations

Two compliance layers sit beside GST and BIS, and both touch what you are allowed to send.

The Digital Personal Data Protection Act, 2023 governs the dealer and purchase-officer contact data sitting in your CRM. The practical requirements are unglamorous: give a clear notice of what you collect and why, take consent for a specified purpose, make withdrawal as easy as giving consent, and stop processing when someone withdraws. For WhatsApp specifically, capture the opt-in at indent stage with the timestamp and source stored against the contact, keep transactional updates and promotional broadcasts separately consented, and honour a STOP the first time it is sent. A dealer who asked for MTCs has not agreed to receive festival offers.

Legal Metrology is the label side. The Packaged Commodities Rules require declarations on packages intended for retail sale — manufacturer name and address, common name of the commodity, net quantity or number of pieces, month and year of packing, retail sale price inclusive of all taxes, and consumer care contact details. Packages supplied to industrial or institutional consumers are treated differently and are generally outside the retail declaration net when marked accordingly, but a box of 100 bolts heading to a hardware retailer in the trade market is a different animal from the same box going to an assembly line. If you sell through both channels — most Ludhiana and Rajkot units do — run two carton artworks and map each to the SKU in your order system.

Hub notes: Ludhiana, Rajkot, Jamnagar, Chennai, Faridabad, Pune

The messaging design changes with the cluster, mostly around language and buyer type.

  • Ludhiana — auto, tractor and cycle fasteners on a dense cold-forging base. Hindi and Punjabi templates, and repeat indents that suit reorder automation.
  • Rajkot — engine components and CNC-turned parts; buyers are often OEM purchase departments who want the MTC before the material. Gujarati and English.
  • Jamnagar — brass fittings, inserts and brass fasteners with a strong export share. Add a shipping-document template set beside the MTC flow.
  • Chennai — tier-1 and tier-2 auto supply with PPAP-style documentation expectations. Tamil and English, tighter SLAs on certificate turnaround.
  • Faridabad — NCR auto plus the Delhi trade market; frequent inter-state job-work movement, so the e-way bill template earns its keep.
  • Pune — the Chakan and Pimpri OEM belt, schedule-driven releases rather than one-off indents. Marathi and English, delivery-schedule reminders first.

WhatsApp templates are approved per language, so plan for two language variants per template from the start rather than retrofitting them after the first dealer complains.

What it costs to run

RichAutomate runs on usage-only pricing: ₹0 setup and ₹0 monthly platform fee, so a seasonal fastener unit is not paying a subscription through a slow quarter. On Client Pay, where you hold your own Meta billing, the platform charge is ₹0.10 per message. On SaaS Pay, where we handle the Meta side, it is ₹1.20 per marketing message and ₹0.30 per utility message.

Meta moved to per-message billing on 1 July 2025, replacing the older conversation-based model, so the arithmetic is now simply messages sent by category. Do the sum on your own order book: a plant shipping 300 lots a month with roughly six utility touches per lot sits in the low thousands of rupees of utility traffic, with marketing spend opt-in only and fully under your control. Full breakdown on the WhatsApp API pricing in India page, and if you are evaluating providers side by side, compare WhatsApp BSPs on per-message rate, platform fee and template-approval support rather than on feature-list length.

One caution worth stating plainly: no provider can promise immunity from restrictions for bulk or unsolicited sending. Quality ratings are set by recipient behaviour. Keep marketing volume proportionate to genuine opt-ins, keep transactional traffic on utility templates, and the account stays healthy on its own merits.

A 30-day rollout for a working plant

You do not need an ERP integration to start. The sequence that works:

  • Week 1 — verify the business on Meta, get the number onboarded, and pick one flow only: MTC release at QC sign-off. Draft the template with placeholders for part code, property class, heat number and lot quantity.
  • Week 2 — get that template approved, load your top 30 dealers with recorded consent, and run it manually from the dashboard for two weeks of real lots, fixing the wording wherever dealers reply with questions.
  • Week 3 — add the dispatch and e-way bill Part-B templates, and wire the QC sign-off in your production sheet or ERP to fire the MTC template automatically.
  • Week 4 — add quotation, PI and payment-reminder templates, route dealer replies into a shared inbox with two named owners, and only then consider the opt-in reorder nudge.

Resist the urge to launch all ten stages at once. Plants that do end up with six half-configured templates and a team quietly back on the phone.

Start with one heat lot

The honest test of whether this belongs in your plant is small: take the next lot that clears inspection, send the MTC as a WhatsApp document message with the heat number in the filename, and watch how the dealer responds. If the reply comes back in minutes instead of the usual follow-up cycle, you already have your answer — and the remaining nine stages are the same mechanism repeated.

Create a RichAutomate account to set up your first MTC template: no setup fee, no monthly platform fee, and you only pay for messages actually sent. More at richautomate.in.

FAQ

Frequently asked questions

Can a fastener manufacturer send mill test certificates on WhatsApp Business API?
Yes. The MTC goes out as a document-type template message triggered at QC sign-off, with the heat number, property class and lot quantity in the message body and the PDF attached. Because it is transactional information the buyer asked for, it is a utility template, not marketing. Name the file with the heat number and lot so the dealer can search the chat for it months later.
What GST rate applies to nuts, bolts and screws, and how is job work different?
Iron and steel fasteners in the HSN 7318 family attract 18 per cent GST on the supply of goods. Job work is different: when you send blanks out for heat treatment, plating or thread rolling, the material moves on a delivery challan and the job worker bills a service under the manufacturing-services SAC, not 18 per cent on your goods value. Inputs must return within one year (three years for capital goods) or the movement is treated as a supply. Confirm the current notified job-work rate with your accountant.
Does the BIS Fasteners Quality Control Order change what I have to send buyers?
It changes what buyers demand up front. The Fasteners (Quality Control) Order brings listed nuts, bolts, screws and washers under mandatory BIS certification with the ISI mark and licence number on covered product, and implementation dates have been extended more than once, so check the current DPIIT notification for your product. Commercially, dealers and tier-1 buyers now ask for the licence number, IS 1367 property class and the lot test certificate before releasing an order.
Can WhatsApp handle e-way bill Part-B updates for dispatch?
Yes, as a short utility template. Part-A carries the invoice and consignee details while Part-B carries the vehicle number and must be completed before goods move; inter-state job-work movement needs an e-way bill regardless of consignment value. A message reading Part-B updated with the vehicle number and validity date costs a fraction of a rupee and prevents the most common dispatch dispute, which is a truck detained because nobody closed Part-B.
What does WhatsApp Business API cost for a fastener plant in India?
RichAutomate uses usage-only pricing with ₹0 setup and ₹0 monthly platform fee. On Client Pay, where you hold your own Meta billing, the platform charge is ₹0.10 per message. On SaaS Pay it is ₹1.20 per marketing message and ₹0.30 per utility message.
